Roadmap update: What’s next for the new workspace experience upgrade in the coming months

The new workspace experienceย isย the future of workspaces in Power BI. Already it’s the defaultย for new workspaces created in the service.ย Today,ย we wanted toย announce our roadmap for workspace upgrade so you canย plan ahead.ย ย 

Let’s recap key milestones in the new workspace experience journey:ย 

  • The new workspace experience reached GAย in April 2019ย ย 
  • Opt-in upgrade for workspace admins entered Public Preview inย November 2019

Now, letโ€™s look at whatโ€™s in the roadmap forย workspaceย upgrade:

  • Workspace upgrade general availabilityย isย coming soon
  • Allowing Power BI Admins to blockย creationย ofย classic workspace
  • Allowing Power BI Admins to hide empty classic workspaces
  • Allowingย Power BI Admins to upgrade classic workspaces
  • Deprecation of classic workspace creation in October 2020
  • Tools for bulk upgrade of classic workspace for Power BI Admins
  • Automatic upgrade of classicย workspaces

 

Workspace upgrade general availabilityย isย coming soonย 

In the summer of 2020, opt-in workspace upgrade for workspace adminsย will reach general availability (GA).ย Aย banner at the top of the content listย for classicย workspacesย will be shown to workspace admins,ย encouragingย them to upgrade.ย This will still be an opt-inย experience with no requirement to upgrade the workspace.ย The banner will continue to be shown until the workspace is upgraded.ย

Allowing Power BI Admins to blockย creationย ofย classic workspacesย ย 

In the summer of 2020, weย will introduce aย Power BIย tenantย setting that allows Power BI admins to blockย creationย ofย classic workspaces. When enabled for your organization, users won’tย be able to createย classic workspacesย in the Power BI service or through API. Any newly created Office 365 Groups won’t create classic workspaces.

Existing classic workspaces are not affected by this setting and will continue to work as they do today.ย ย

When we add the block classic workspace creation setting, the default will be Disabled as shown in the screenshot. The Power BI Admin can opt-in to block classic workspace creation for their organization.ย  Later in this blog we’ll describe how and when we plan to starting to block classic workspace creation by default.

 

Allowing Power BI Admins to hide empty classic workspacesย 

Many classic workspaces that are empty because they were created automatically when an Office 365 group was created. We will introduce a newย Power BI tenant setting allowing Power BIย Admins to hide theseย emptyย classic workspacesย and toย delete them.ย Weย expect this capability to release byย October 2020.ย

Allowingย Power BI Admins to upgrade classic workspacesย ย 

We will introduce a new option in theย Power BI admin portalย toย upgradeย classicย workspaces. Theย Power BI adminย will use the admin portalย workspacesย listย toย pickย a workspaceย and upgrade it. We expect this capabilityย toย releaseย by October 2020.ย Additionally, we’re evaluating the if we can provide an API for Power BI admins to upgrade workspaces and will update at a later time our roadmap for that capability.ย 

This Power BI admin opt-in upgrade will have the sameย impactsย as workspaceย admin-initiatedย opt-in upgrade.ย Notably,ย content packs will be removed as part of the upgrade.ย 

Workspace adminsย will be notified that theirย workspace was upgradedย by the Power BI admin.ย ย 

Importantly,ย Power BIย adminsย should take steps to educateย workspace adminsย about any planned upgrades.ย Itโ€™s important that workspace admins follow theย steps to take after upgrade.ย ย

Deprecation of classic workspace creation in October 2020ย 

On October 1st, 2020,ย Power BIย will start blocking the creation of classic workspacesย forย mostย tenants. For tenantsย in national cloudsย the same change will rolloutย aย few weeks later.ย Existing classic workspaces will continue to workย without disruption.ย ย 

When this rolls out, new classic workspaces will not be created for newly created Office 365 groups.ย 

Effectively this will have the same behavior as if the Power BI admin disabled classic workspace creation through the tenant setting.ย 

 

Tools for bulk upgrade of classic workspace for Power BI adminsย 

Early in 2021,ย weย plan toย introduce toolsย forย Power BI adminsย toย bulkย upgradeย classic workspaces. These toolsย will enableย Power BIย adminsย toย plan andย control when and how quickly to upgradeย allย their classic workspaces.ย ย

Automatic upgrade of classicย workspacesย ย 

We expect thatย inย midย 2021ย we will start toย automaticallyย upgradeย allย remainingย classic workspacesย to the new workspace experience.ย We wonโ€™t start the process until we believe the bulk-upgrade experiences provided to Power BI admins are reliable and we can address anyย feedback we receive from customers.ย ย

How to prepare for these importantย changesย ย 

Organizations shouldย learn aboutย the benefits and differences of the new workspace experience.ย Weย encouraged Power BI adminsย toย work with workspace admins to upgrade classic workspaces.ย ย ย 

Content packs have been deprecated for several years and they will be removed through the workspace upgrade process.ย Nowโ€™s the time to move to Power BI apps.ย ย 

The options being introduced in the Power BI admin portal allow organizations toย control when these changes occurย for their tenants. We highlyย encourageย Power BIย admins to plan and communicateย the changesย to their organizations. Thisย helps ensure there are no surprisesย when the Power BI service startsย enforcing the changed behaviorsย described in this blog post.ย
